The Nitto Group Partner Hotline is a reporting system exclusively for our business partners. Before using it, please review the information below.

◆ Purpose
If officers or employees of the Nitto Group engage in significant compliance-related misconduct or violations, or if there is suspicion thereof, please report to this hotline. Please refrain from reporting matters that do not fall under these categories (such as false reporting, reporting for the purpose of gaining illicit profit, or reporting with the intention of causing harm to others), as they are not within the scope of reporting.

◆ Protection of Reported Content and Acceptance of Anonymous Reports

The content of reports and any information that could identify the reporter will be handled as confidential information. Anonymous reporting is also accepted. However, please understand that in anonymous cases, the following issues may arise:

・Sufficient investigation may not be possible
・Investigations may take a long time
・It may not be possible to provide adequate protection for the reporter or take appropriate corrective measures
・Follow-up reporting may not be feasible

In order to facilitate communication regarding reports and to conduct fair and impartial investigations, we recommend that you provide your name and contact information when making a report.
If you choose to provide your name, this information will be held confidentially and will only be accessible to our investigation team. Unless specified as a “company report,” which implies it is being made on behalf of the company, reports will be treated as the personal report of the reporter (individual), and unless we receive prior consent from the reporter, we will not disclose this information to their affiliated company.

◆ Response System for Reports
The verification and investigation of reported content will be conducted by the Compliance Promotion Department or by individuals designated by the Compliance Promotion Department. Disclosure of reported content to individuals other than the designated contact person will be limited to the minimum necessary for verification and investigation purposes.

◆ Protection of Reporters
Reporting individuals and their employers will not be treated unfavorably due to their act of reporting.

How it works

How this internal reporting channel works

This internal reporting channel is provided to detect in advance any problems, such as fraud, that will negatively affect the Company and thereby to ensure its sound operations. All reports submitted to this channel will be forwarded to the head office in Japan, and persons in charge at local companies will not have access to them.
Nitto Denko Corporation has outsourced the operation of this reporting website and report acceptance services to D-Quest, Inc., a third-party organization. Reports are stored and managed on a server that is protected by advanced security and that is independent from the Company. Unless the reporter voluntarily discloses information, no information that can identify him or her will be revealed to the Company. You can report anonymously or not, as you prefer.

Reporting flow

Once your report is registered on the D-Quest server, a 13-digit Report Number will be issued.
The reporter and the respondent will communicate with each other on this reporting website using the Report Number, and the respondent will make answers such as the investigation results of the report to the reporter.
The reporting flow is different depending on whether a report is made from a location within Japan or from a location outside of Japan:

For a report from a location within Japan, the reporter will be able to interact directly with the respondent on this reporting website.

For a report from a location outside Japan, the report will be accepted first by D-Quest for translation and other necessary processes for a cross-border transfer. The translated and processed report will be transferred from D-Quest to the head office of Nitto Denko Corporation. in Japan and received by the respondent.
Once the respondent receives the report, he or she will start handling it and will send a reply to the reporter. This reply will also be received and translated by D-Quest and will be made available for inspection on this reporting website in the language chosen by the reporter at the outset.

General

A.Many cases of corporate fraud have been detected through investigations that started as a result of a whistleblowing report. It is important for the Company’s efforts to ensure compliance in its business operations to nip fraud in the bud as early as possible. The internal reporting system plays an extremely important role in ensuring sound business operations, which are essential for employees and other workers to work safely and securely and for the Company to contribute to society. Please don’t hesitate to use the internal reporting system.

A.You can report a fraud anonymously or not, as you prefer. Unless a reporter explicitly agrees, his or her personal information will never be disclosed to the respondent.

A.D-Quest, Inc. is a service provider specializing in whistleblowing, and supports whistleblowing systems from development to operation. It operates this reporting channel as a third-party organization under an outsourcing contract with the Company. Its business is operated independently from its corporate clients, and D-Quest operates its reporting website on its own server. D-Quest has obtained an international certification, JIS Q 27001:2014 (ISO/IEC 27001:2013), in the field of telecommunications, and reports are communicated securely and stored after being encrypted.

Reporting interaction

A.From the URL shown in the “Create New Report / Check Reply / Add Information” section on the Home page, you can submit a report, review the respondent’s reply, and send your reply to the respondent.

A.Please proceed to the reporting page by clicking on the URL shown in the “Create New Report / Check Reply / Add Information” section on the Home page. You will find the manual on that page for you to click on and read.

A.In Japan, the respondent will review reports within 1 business day after they are submitted. In the EU and in other regions, reports will be reviewed by the respondent within 7 days and 8 business days, respectively. Subsequently, the respondent will promptly send a reply to the reporter. However, it may take more days depending on Japanese national holidays, New Year holidays, and summer vacation periods.

A.When making your new report, you can register an email address to receive emails notifying of the respondent’s reply. The email address will be irreversibly encrypted and will be unreadable by D-Quest and the respondent. Therefore, you can receive notification emails even when you make a report anonymously.

A.We are unable to answer any questions about Report Number, PIN Code, and Common ID / Common Password. If you forget your Report Number or PIN Code, you need to report the matter again as a new report.

Post-reporting actions

A.After you receive a reply from the respondent, please review it and send a reply. If there is anything that you forgot to mention or any information that you want to add, you may add information without waiting for the reply from the respondent to arrive. For details, pleases refer to the manual.

A.The status of the investigation on your report will be included in the reply from the respondent. If you have a suggestion about the investigation method or other matters, please advise the respondent in your initial report or your reply to them.

Protection of reporters

A.In Japan, the Whistleblower Protection Act is in place to strictly prohibit disadvantageous treatment on the grounds that someone has made an internal report. Similarly, reporters are also protected outside Japan based on local laws.(Korea:public interest reporter protection) If you feel that you are being treated disadvantageously, you can report the matter separately to this channel or use other reporting channels to report it.

Other

A.No person other than the reporter can obtain information about a report made by a reporter. Therefore, no one can know whether anyone has made a report on a matter involving himself or herself.

A.Although it is desirable if you can make a report on grounds that are as reliable as possible, you can report a fraud even if you do not have positive proof or evidence. As long as you make a report in good faith, you will not be subject to disciplinary action even if what you report turns out to be incorrect.
